Recreation Commission Minutes 03/21/13
Evendale Recreation Commission
March 21, 2013

Called to order at 7:35am.

Roll Call: Pamela Meyers, David Nichols, Georgia Bergan, Wayne Mosley, Katie Touvelle, Gus Janszen, Esq., and John Doviak.
Absent: Stiney Vonderhaar

Recognition of Visitors: Chris Schuermann, Gorman Heritage Farm

Motion to approve the minutes made by Pamela Meyers; seconded by Georgia Bergan.
Motion approved.

Additions to the Agenda: none

New Business:
a. Chris Schuermann, Gorman Heritage Farm
  • The recent square dance was a success and a lot of fun. The UAW is considering sponsoring the 2014 dance.  
  • SWOEFF (Southwest Ohio Ecological Food and Farm Association) will hold their conference at the farm on April 13, 2013.
  • SAVOR THE SEASON: FARM TO FORK DEMONSTRATIONS will take place May 4th. Some of the top chefs in the Cincinnati area will be here to cook.
  • Fifty percent of summer camp spots are already filled.
  • The Farm has re-applied for the Impact 100 grant. Several financial contributions have already been made to support the grant process.
  • A few staff positions have changed which have brought new ideas about programs and educational opportunities. Next January and February, the farm will open for family and adult programs. Six interns will be here at the end of May and will stay in the farm house.
  • The former grill at the Recreation Center’s Shelter House has found a new home with the farm; although it has not been used, yet.
  • The upper meadow would be okay for dogs, preferably on a leash. The farm does not allow dogs, except properly marked service dogs, to be down in the main farm area.
  • A well may be drilled this year to test the water. The current water supply is exhausted; and it would be costly to install water lines to the nearest street connection.
  • Trail installation, and upgrades are being hampered by the weather.

Old Business:
a. Lifestyle Essentials – as noted in the packet
  • A concern was expressed about the “free class” offer being advertised strongly during a session rather than at the beginning. Why is the promotional week being offered during a session instead of at the beginning? Also, several classes have been cancelled due to weather; will the winter session fitflex pass be honored into the spring session?
b. Bike Master Plan
  • 106 surveys were returned. The Mill Creek Trail received 106 responses; and 71% of those rating the development as a 5 (great idea). The Five Year Master Plan is in the works, and once completed, there will be a presentation to the village planning commission, and council.
Director’s Report:
  • HB143 regarding youth concussions
  • The bill is now law which establishes requirements for dealing with concussions, or possible concussions. An information sheet should be distributed to all parents. Coaches and officials must complete a free online concussion training program. Coaches, referees, or officials must remove a player from play if the child shows signs of a concussion. The child cannot return to play until they are seen, and receive written permission, by their doctor.
  • This law puts volunteer, usually non-medical trained, coaches in the position of making a medical decision about a child. Sport leagues may need to change rules allowing a medically-trained spectator on the field to assist in the assessment of a child who has the possibility of a concussion. The department would be wise to create a procedure for finding out which parents of players have some medical training; and if they could be available at games, and practices, to make the decision about a child if needed. We may need to consider getting medically trained adults to attend games, and practices, if no parents are medically trained.
  • As practice, if a child goes down during a game both coaches should go out to assess the child and determine if the player should be removed from the game due to the possibility of concussion.
b.   Today, interviews will be conducted for the assistant swim team coach positions. Head swim team coach Debbie Walker and David will conduct the interviews.
c.   The department is preparing everything for spring and summer – baseball fields being graded for proper drainage, pool preparations, staffing interviews and training, etc.

Phi Lambda Pi Report:
  • Some of the members recently volunteered at the department’s Egg-Stravaganza.
  • On Wednesday nights the group has just hung out in the Phi Room, competed in a 3-on-3 basketball tournament, filled out NCAA March Madness brackets, and Bingo.
  • The annual Award’s Night program takes place April 19th. The overnight portion includes going to Run Jump-n-Play.
  • High school swimming is over, so weekly attendance should increase; last night there were 30-35 kids here.
Open Discussion:
  • The village is updating the website. The site will, hopefully, go “live” in about two months; so watch for that.
  • A concern about pool guests was expressed to Gus. A resident is concerned about guests being allowed in although the member is not at the gate to meet them and formally bring them in the pool area. The member stated that they heard people come up to the attendant, state they were so-and-so guest, the person paid, and the attendant let them in to the pool. This member is also concerned about after hour usage of the pool. Unless someone is climbing over the fence, only water polo has been renting the pool for after hours use.  If the member could give a few more details, that would be appreciated.
